Privacy Policy - Meeting Maestro

This policy describes processing connected with Meeting Maestro. Browsing akleol.com is covered by the website’s policy.

1. Who processes your data

AKLEOL is responsible for the processing needed for the account, security, support and operation of Meeting Maestro.

Where an organisation determines the purposes and use of data from a professional meeting, that organisation may be the controller and AKLEOL may act as its processor for the requested services.

2. Data processed

Meeting audio is recorded and transcribed locally on the device. No meeting audio is sent to AKLEOL or the artificial intelligence provider.

If Cloud syncing is enabled, AKLEOL may store structured meeting data, including the transcript, title, participants, summary, decisions, actions and planning items. This data is protected on the server; it is not end-to-end encrypted.

Sign in with Apple provides Meeting Maestro with the technical identity needed for login. AKLEOL also processes information needed for usage rights, quotas, security and support.

App Store purchases are processed by Apple.

3. Artificial intelligence analysis

If you request Cloud analysis, the meeting text and reference date are sent to the active artificial intelligence provider. No audio is sent.

Before the first recording or import, and again if the active provider changes, Meeting Maestro displays a notice identifying the provider concerned. Text is shared only if you then request Cloud analysis.

The app identifies the active provider and provides access to its official privacy and data processing resources.

AKLEOL selects and configures the services used so that content sent for analysis is not used to train or improve their models.

Some data may nevertheless be retained temporarily by the provider for technical needs, security, abuse prevention or compliance with its legal obligations.

The applicable conditions depend on the active provider and its configuration.

4. Purposes and recipients

AKLEOL uses the data needed to provide Meeting Maestro, secure the service, manage usage rights, respond to support requests and comply with its legal obligations.

Depending on the features used, the main providers are:

  • OVH for infrastructure;
  • Apple for identity and purchases;
  • the active artificial intelligence provider for the requested analysis.

Use of some providers may involve processing data outside the European Economic Area. Information about the active provider is available on the dedicated page.

5. Retention and deletion

Meetings, transcripts and results kept by the user remain available until they or the account are deleted.

Support cases are automatically deleted thirty days after closure.

Some minimal information may be retained where necessary to restore paid rights, prevent abusive reassignment of a one-time offer or comply with a legal obligation.

After deletion, some data may remain temporarily in AKLEOL’s secure backups for no more than seven days. It is not used to restore deleted data.

Ordinary technical logs are kept for no more than seven days.

Processed Apple events are deleted within thirty days.

6. Your rights

Meeting Maestro lets users view, export and delete meetings and delete the account and its active content.

For any question or request, use the Help and Contact & Support pages available from the app.

Subject to applicable rules, you may exercise your rights of access, correction, deletion, restriction, portability and objection.

You may also lodge a complaint with the competent data protection authority.

People recorded or mentioned may also be affected by this processing.
